Description
The Human Resources Senior Administrative Assistant will provide administrative support to three Titusville-based members of the North America Pharm Human Resources leadership team. They will successfully process all communications, including phone calls, email, correspondence, mail and faxes. They will delegate or triage decisions on communications as appropriate, operating independently. They will manage complex and changing business calendars with a keen sense of prioritization and time management to ensure maximum effectiveness of time of the HR leaders. They will be responsible to coordinate key meetings and all related activities, and maintain privacy and confidentiality, with access to sensitive information as a member of the Human Resources team. This individual will be the face of the HR department in Titusville, and will be a first point of contact for many employees as well as the back-up administrative support for the VP of Human Resources. They will have responsibility for assisting employees with general employment questions, including on-boarding, policy/procedures, etc. They will also coordinate travel arrangements and processes expense reports in a timely and accurate manner. The individual in this role will also have responsibility for ad hoc projects in Human Resources as well as ad hoc support to the other members of the Titusville HR team. This role is also responsible for creating Purchase Orders and maintaining communication with vendors on an as needed basis.
Under minimal supervision, incumbent performs advanced administrative responsibilities as well as coordinates and manages projects of a highly confidential and sensitive nature. To ensure success in the role, the individual must be proactive and able to juggle multiple priorities, and manage expectations of key stakeholders based on workload and sense of urgency.
Qualifications
Minimum of a High School diploma is required. An Associate’s degree preferred. Minimum of 6 years of administrative experience required. Demonstrated proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) is required. Experience working with ARIBA or related reporting system is preferred. Excellent verbal and written communication skills, with exceptional interpersonal skills are required. Experience working in a Human Resources department is preferred. Sense of urgency required while maintaining a high degree of professionalism. The ability to multi-task, work with minimal supervision, and achieve results in a fast-paced environment is required. Strong organizational skills are required. Must be able to manage high-profile, and rapidly changing multi-cultural environment. This role is based in Titusville, NJ.
