Janssen Research & Development, LLC, a member of the J&J Family of Companies is recruiting for a Senior Administrative Assistant to be located in Raritan, NJ.

Research and development areas encompass novel targets in neurologic disorders, gastroenterology, oncology, infectious disease, diabetes, hematology, metabolic disorders, immunologic disorders, and reproductive medicine.
The Senior Administrative Assistant provides senior-level administrative support to R&D GxP Director/Senior Director Program Managers and GxP departmental staff. Position requires independent analysis of administrative responsibilities basing best course of action while prioritizing demands in a dynamic and fast-paced environment. Candidate must be able to maintain performance standards to cascade with goals and objectives of company-wide leadership standards.
PRINCIPAL RESPONSIBILITIES:
Administrative support and coordination of departmental activities
Organize and coordinate internal and external company meetings
Secure meeting locations, conference rooms, ensuring it is equipped as required
Assist with creating, recording and distributing meeting agendas and minutes
Coordinate computer hardware, software and telecom service requests for new colleagues
Organize travel/conference accommodations
Prepare and provide detailed expense summaries and relevant documentation to track monthly, quarterly, or yearly departmental expenses
Maintain and support GxP departmental filing system in accordance with their relevant GxP SOP on Filing and Archiving
Coordinate and submit departmental IRIS, SOC and Helpdesk requests
Coordinate recognition and rewards as approved by management
Records Management contact for the GxP department
Responsible for administrative support during FDA GxP inspections
Assist with planning departmental activities
Assist with establishing schedules and priorities of routine work to meet departmental goals
Ability to work in a team environment is crucial
Tasks to be performed within the framework of departmental and company procedures, regulations and guidelines
Independently assemble relevant data for supervisor and compile statistics/information
Exercise independent discretion and judgment to solve complex problems
Proactively approach situations to avoid conflict, alleviate redundancy, and promote simplicity for leaders. Interact with senior management within and external to J&J. May provide direction/coordination of workflow to other Administrative Support staff.
Qualifications
Associates degree or equivalent background with a minimum of 5 years executive/medical/legal and office administrative experience is required.
Must be proficient in Microsoft Office: SharePoint, Excel, PowerPoint, Work and Visio.
Experience with Ariba, Beacon, IRIS, Our Source, GXRS, CTO.
Must be willing to learn programs specific to Q&C
Familiarity with or willing to learn Regulatory Compliance (GLP/GCP/GMP/PV/CSV/HCC) procedures and requirements, FDA inspection procedures; and company human resources policies
Must have excellent interpersonal skills, must be diplomatic and liaise with colleagues across global disciplines and cultures
Must be detail-oriented with excellent communication skills; Experience managing a highly complex business calendar; Coordination of high level business meetings, etc. Coordination of travel arrangements for international travel schedule. Many tasks are time sensitive and quality is first priority
In the course of conducting business off site, the incumbent is required by company policy to adhere to the same
procedures (i.e., dress, conduct, area access) as those imposed upon business partners.
This position might require travel to the Titusville campus on an as needed basis.
