Description
Johnson & Johnson Consumer Business Unit, a consumer and personal care sales & marketing company and member of Johnson & Johnson's Family of Companies, is recruiting an Administrative Assistant for the facility located in Guaynabo, PR.
The Administrative Assistant provides administrative and secretarial support functions to the Managing Director and others in the Consumer Business Unit. This position requires frequent exercise of initiative, judgments and resolving problems related to the administrative functions. Assists and supports Consumer Business Unit (CBU) staff's requests; initiating action when appropriate. Provides follows-up on necessary requests via e-mail or telephone to all CBU staff. Gathers and compiles information received for the Director. Prepares presentations. Distributes incoming and outgoing correspondence, packages for delivery, etc. Assists in managing controllable expenses in departmental budget. Processes all requisitions and purchase orders for the Business Unit. Performs travel arrangements for the Business Unit Team. Prepares and reconciles expenses reports for the Management Team as required. Prepares agendas and coordinates Business Unit meetings and outside appointments. Coordinates and serves as an active member for different teams. Attends and participates in company meetings. Provides office management and facilities requests support. Performs hotel reservation and ground transportation for external Business Unit visitors. Provides support to the Human Resources function in absence of an Administrative Assistant. Supports the Safe Fleet Program and maintains records of the Business Unit cars & drivers. Coordinates for all the supplies needed by the Department staff. Ensures knowledge of Company policies that impacts the administration of the team. Complies with all Company safety rules and procedures. Capable to manage highly confidential information appropriately.
Qualifications
A minimum of an Associate's Degree in Office Systems/Management, Secretarial Sciences or related field will be required. Bachelor's degree will be highly preferred. At least four (4) years of experience in a similar position will be required. Candidate must be proficient in the usage of computer programs such as MS Office (Outlook, Excel, Word, and PowerPoint). Previous experience in the usage of computers, printers, photocopier, filing system, manuals, books, calculator, telephone, fax and general office supplies will be required. Excellent communication skills will be required. Fully Bilingual (fluent English and Spanish, oral and written) is required. The selected candidate must be able to provide on call support during weekends and after working hours and willing to work irregular hours and holidays, if necessary. A physical requirement of the position includes: light to medium work that requires physical strength, movement of objects such as lifting, carrying and pulling, and involves body movements such as stooping, reaching handling and fingering.
